How to Make ViroteaED Work in a Time-Pressured Organization

We sometimes hear from ViroteaED customers who struggle to find the time to integrate the tool and keep the training momentum going. The need is there, the motivation is there, and the value is clear – but everyday life takes over. Nobody quite gets around to it, the VR headsets sit in the staff room, and time passes.

1. Connect it to something that's already happening


The most common pitfall is treating ViroteaED as a separate item that requires its own dedicated time slot. In an ideal world, this would of course be optimal – but in a time-pressured organization, you need to think differently.

Many organizations connect ViroteaED to something already in the calendar: a staff meeting, a workplace gathering, an onboarding day or a morning briefing. One example is Hässleholm Municipality, which runs ViroteaED as a fixed element of their onboarding day for new staff. It requires no extra planning – it's simply part of the day.



2. Appoint someone responsible


When everyone is responsible, it's easy for no one to be responsible. Many municipalities have appointed one person to ensure ViroteaED gets used, that new employees get to try it, and that it doesn't get lost in the day-to-day.


It doesn't need to be a big role. It could be a support assistant who enjoys technology, or a team leader who believes in the tool.



3. Start small! Two headsets are enough if you know how to use them


Two headsets can feel like too few for a large team. But used in the right way, they go a long way. Each scenario takes around 5–10 minutes per person. During a staff meeting, two headsets can rotate through quite a large group. It's not about how many headsets you have – it's about how and when you use them.

4. Make the reflection the main event, not the technology

Keep in mind that the VR experience is meant to be a starting point for a meaningful discussion within the team – that's the whole point. Organizations that get the most out of ViroteaED talk a lot about what happens after the headsets come off: the discussion, the recognition, the questions.


This also makes it more accessible for staff who are hesitant about technology.



5. Follow up, otherwise it easily slips away again

Set a recurring reminder! Book the next session before you finish the current one. Organizations that treat ViroteaED as a one-off tend to lose it. Consistency matters – try to build it into your organization's routine.
